When a council member asks how the bond money is being spent, or a grantor asks for a status on the award, the answer takes a week of cross-referencing — and the version everyone's looking at is already out of date.

How is the bond money being spent?

A council member asks, in a public meeting, how the 2025 road bond is being spent. Instead of a week of spreadsheet archaeology, the public works director opens the projects dashboard: each capital project shows its budget, its spend to date, and its utilization percentage, grouped by fund source — so the bond's projects sort out from the general-fund ones at a glance.

One of those projects is partly grant-funded, and the grant is linked right to it: its grantor, its award amount, its period, and how much has been drawn. When the grantor's quarterly report comes due, the finance office pulls award-versus-spend from the same record rather than rebuilding it. The six-month spend chart and the by-department breakdown go straight into the budget presentation — current, sourced, and built from data that was never scattered.
