Register

Catalog equipment

Add an item with a category (vehicles, machinery, tools, electronics), an auto or custom tag, a barcode, acquisition date and cost, and a starting status.

Custody

Assign a custodian

Name the employee responsible for each item, and filter the register by custodian to see everything in one person's care.

Warranty

Watch warranties

Hold a warranty provider and expiry on each record; a KPI counts items whose warranty is expiring soon so coverage doesn't lapse unnoticed.

Maintenance

Track condition

Mark items in service or in maintenance, record maintenance history, and see in-service vs. in-maintenance counts on the KPI strip.

Transfers

Move between entities

Initiate inter-entity transfers so equipment can change hands between departments or precincts with a tracked record.

Scan

Scan or look up

Scan a barcode or type a tag, barcode, or ID into quick lookup to jump straight to an item — out in the field or at the counter.

A typical workflow

  1. Register the item — name it bilingually, pick a category, scan or enter a tag and barcode, and record acquisition cost and warranty.
  2. Assign custody — name the custodian responsible, so accountability is clear from day one.
  3. Keep it serviced — flag it into maintenance when needed and log the work; it returns to in-service when done.
  4. Mind the warranty — the expiring-soon KPI surfaces items to renew or claim before coverage ends.
  5. Transfer when needed — initiate an inter-entity transfer to move the item, keeping a tracked custody trail.

In practice
A warehouse clerk scans a backhoe's barcode at the quick-lookup box and opens its record in one tap — custodian, warranty status, and maintenance history all there. When the precinct lends it to another department, the clerk initiates a transfer rather than letting it vanish off the books; the expiring-warranty KPI later reminds them to renew coverage before the season's heavy use.
